Phone calls and emails are really difficult to use as business tools, honestly.
Because clients use them, or because many people still use them. If you are still heavily relying on email and phone, you should make an effort not to use them.
Because they are harder to use compared to other tools.
Things that are difficult to use will eventually be replaced by more convenient ones. When things change, it's natural that those who are accustomed to using them will be sought after.
In fact, most of the people I currently do business with directly are like that. Facebook Messenger or Chatwork, LINE, SLACK, etc. We are transitioning to new communication tools.
What is Chatwork? What is SLACK? I will summarize these topics separately later.
We no longer use email or phone at all. In the past six months, I've used the phone for work communication fewer than 10 times. Even so, work efficiency has more than doubled compared to before. We are able to proceed with projects smoothly.
If you are still communicating via phone or email. Tell your clients and business partners clearly.
"We use Chatwork or SLACK, so could you please use those?"
Being clear is beneficial for society as a whole. As long as people continue to use inconvenient things, the progress of society as a whole will be delayed.
By the way, everyone I do business with initiates the conversation themselves. They ask, 'I'm communicating via Chatwork or SLACK, is that okay?' So, on the contrary, I'm grateful.
That is the correct way.
It is absolutely necessary to keep up with the progress of society.
Furthermore, if communication can only be done via phone and email, it is generally considered a sign of ignorance.
Or, it's because their security is extremely strict, one of the two.
I also make the same judgment if the other party says 'by phone and email' without any particular reason.
I unconsciously feel, 'This person will eventually fall behind the times,' or 'They are behind.'
It's often enough that I lose interest at that point.
If there are issues such as security or compliance, it cannot be helped.
Rather, it's the company, not the individual, that should change.
Information can also leak through email and phone.
In fact, computer virus infections are more likely to occur via email.
That's because most cases involve mistakenly opening a virus attached to an email and getting infected.
If it's a tool like Chatwork or SLACK, unnecessary spam emails won't arrive.
You can communicate in a completely closed environment.
If there were a security problem, it would be when the operating company is hacked.
As for phone calls, they should no longer be heavily used as a work tool.
Because it takes people's time at an inconvenient moment.
Basically, when someone calls, they are never free.
They might be working or in the middle of a task.
They are doing some kind of work, and it definitely has a deadline.
They have to use that precious time to answer the phone.
And often, it's something that could have been sent via LINE.
I'll reply to that later, so please send it via LINE.
Even with phone calls, there's psychological pressure of not knowing when a work-related call might come.
If you're called repeatedly during a meeting or while working, you can't get work done.
You'll never be able to concentrate properly on your work.
Furthermore, even without that, phone calls are inconvenient.
Because no record is left.
The 'he said, she said' problem only arises because communication is verbal.
If communication were in writing, such problems wouldn't occur.
The idea of transcribing and recording it later is doubly troublesome.
It's a complete double effort.
Also, if you were to transcribe it.
Recording every short, brief phone call would be incredibly tedious.
If necessary, you should meet in person or use internet calls like Skype.
For a quick confirmation, LINE can be handled faster.
If you leave a message, we can respond faster than by phone.
And on top of that, meeting minutes are automatically saved.
Let's switch from phone calls to LINE or other communication tools.
Emails should be switched to tools like Chatwork or SLACK.
You can achieve smoother communication.
You might not be used to it at first, but nothing is easy at first.
However, not streamlining communication methods just because of that is a foolish strategy.
For every moment you continue, you lose time and efficiency.
Those who are still only using phone and email should move to the next stage soon.
If you're a proper businessman, many people have already adopted this.
Because they are building the optimal environment where they can perform best.
